*CAP SUMMER PROGRAM COORDINATOR*
*Job Description*
*SUMMARY*
The CalArts Community Arts Partnership (CAP) Summer Program Coordinator is
responsible for administration of the CAP Summer Arts (CAPSA) Program—a
free, three week initiative that provides youth in Los Angeles with
instruction in animation, creative writing, dance, music, photography,
theater and the visual arts. All classes are taught by CalArts Faculty and
student instructors. The CAP Summer Program Coordinator reports to the
Managing Director. This is a temporary, fixed term position for 7 months
beginning in February 2015.
*ABOUT THE CALARTS COMMUNITY ARTS PARTNERSHIP*
The award-winning CalArts Community Arts Partnership, a co-curricular
program of the California Institute of the Arts (CalArts), offers free,
after-school and school-based arts programs for youth ages 6-18 in every
discipline taught at CalArts. Programs are offered at public schools,
community centers and social service agencies, covering a thousand square
mile radius across Los Angeles County. With classes led by a teaching corps
of accomplished CalArts faculty, alumni and student instructors, CAP
participants learn to create original works of art and to experiment with
prevailing conventions of artistic expression. CAP’s success has served as
a model for other arts education organizations locally and nationally, and
the program has received numerous honors, including The President’s
Committee on Arts and Humanities’ National Youth Program Award, which
recognizes exemplary programs that foster the creative and intellectual
development of America’s children.
*ESSENTIAL JOB FUNCTIONS (include but are not limited to):*
*Program Administration (40%)*
- Leads administrative aspects of assigned CAP summer programs, and
supports and manages Lead Instructors
- Manages participant application process
- Coordinates all logistics, including scheduling programs, ordering
equipment and supplies, arranging transportation, etc.
- Recruits youth participants, fields youth participant inquiries,
manages concerns, and implements participant code of conduct
- Reviews curricula, outlines, lesson plans, contact lists, etc. for
each assigned program, and compiles and maintains an archive of applicable
lesson plans
- Creates a safe learning environment for CAP youth participants and
student instructors. Abides by the rules, regulations, policies and
directives of CalArts and CAP as they now exist or as may be adopted by
CalArts and/or CAP during the appointment period. Ensures that instructors
follow all CAP Policies & Procedures at CAP Program Sites
- Completes data entry and ensures timely updating of program and
partner information, and participant records in CAP databases, including
program curricula, lesson plans, contact information and attendance records
- Works with CAP Senior Management to manage program budget and works
with the CAP Finance Manager to implement and monitor the budget
- Provides timely information about assigned programs and works closely
with Managing Director on all aspects of fundraising for CAP programs,
including cultivation, solicitation and stewardship
- Works closely with the Director of Research, Assessment and Operations
on the implementation of program evaluations
- Manages communications about assigned programs and promotes programs
through social media, print publications, advertising, press releases,
email and websites
- Oversees the documentation of program activities through video,
photography, interviews, surveys, etc.
- Provides classroom support as needed
- Maintains assigned storage areas
*Student Instructor Supervision (20%)*
- Works with CalArts faculty and alumni lead instructors to recruit,
interview, assign and train student instructors for each program
- Supervises student instructors in collaboration with CalArts faculty
or lead instructors.
- Verifies student instructor eligibility for employment
- Leads professional development training for student instructors.
- Advises student instructors, as needed, on lesson plan content and
structure, and classroom management
- Maintains a high degree of confidentiality at all times on HR issues
related to faculty and student status and performances, student and faculty
grievances, and other program concerns
- Reviews and approves instructor timesheets
- Directly supervises volunteers and interns of assigned programs
*Community Engagement (20%)*
- Cultivates relationships with school teachers, school administrators,
community organization leaders and parents
- Arranges and conducts informational recruitment sessions for the
program at local high schools, community centers and social service agencies
- Serves as first point of contact for program site administrators on
logistics
*Event Management (20%)*
- Plans and produces the CAP Summer Arts Program culmination event,
including film screenings, readings, exhibitions and performances in
collaboration with Lead Instructors
- Oversees the creation of programs, email blasts and other event
communications
- Implements procedures and practices for the management of the
culmination event
*Other duties as assigned.*
*EXPERIENCE*
- One to three years at minimum of professional experience in
coordinating multi-disciplinary arts education programs for youth
- Experience at an institution of higher education highly preferred.
- One to three years of experience supervising personnel.
- One to three years of experience in implementing program evaluations
and student assessments, including data collection strategies, survey
implementation, data analysis, and reporting.
- Experience in student development and leadership theory in higher
education.
- Demonstrated commitment to social justice in education.
- Knowledge of current research associated with arts education and K-12
curricula, key policies in K-12 education (NCLB, ESEA, Common Core, etc.)
and the California State Visual and Performing Arts standards
- Spanish language proficiency (written and spoken) a plus
*EDUCATION*
- Master’s Degree in Arts Education or a related field.
*SKILLS*
- Demonstrated ability to think strategically about complex educational
challenges
- Great skill in eliciting cooperation from a wide range of constituents
- Exceptional ability in managing and supervising students
- Superior problem-solving and critical thinking skills
- Knowledge of current California state educational standards, best
practices in teaching, and regulations about working with minors
- Excellent verbal and written communication skills
- Strong organization and time management skills
- Great attention to detail
*ABILITIES*
- Ability to attend assigned programs and work on Saturdays throughout
the summer as well as occasional extended hours, including evenings, as
needed.
- Exceptional ability to collaborate and work well with others,
including students, faculty, lead instructors and staff.
- Ability to interact and communicate in a professional, diplomatic and
clear manner with multiple constituencies.
- Ability to exercise discretion and tact, and maintain confidentiality.
- Ability to work independently with minimal supervision.

- Ability to prioritize multiple demands and tasks in a fast-paced
environment, while maintaining a calm and professional manner.
