Currently The Music Center is in search of a Program Associate to assist
in the areas of programs and events in its Programming Department,
including Glorya Kaufman Presents Dance at the Music Center, Active
Arts® at the Music Center, World City at The Music Center, and
others; in addition to providing general clerical and administrative
support to the department as directed.

Reporting to the Associate Vice President of Programming the Program
Associate will work closely with Operations, Accounting/Finance, and
other internal departments and their staff. The successful candidate
will maintain effective and on-going internal and external relationships
(including volunteers and the general public); and serve as primary
point-of-contact for the department. Must maintain positive
relationships with all levels of Music Center staff as well as key
external individuals and organizations.

Duties include, but are not limited to:

Responsible for volunteers for departmental programs and events
including but not limited to communicating, coordinating, and training
new volunteers, and overall supervision. When needed, serve as secondary
assistance for Active Arts volunteers.

Logistical support includes as primary point-of-contact and responsible
for all departmental logistics, including but not limited to: on-site
catering provider (Patina), event parking (Classic), and internal
departments such as Accounting, and Operations (Booking/Scheduling,
Security, Housekeeping, Engineering, etc.).

Responsible for all artist hospitality including but not limited to
travel, hotel, and meals. Coordinate and provide support for
welcome/hospitality packets, security clearance, food/water hospitality,
ticketing, merchandising, and other items as required.

Manage purchase and selling of merchandise for all departmental
programs, performances and events (some may occur off-site), including
set-up/take-down, managing inventory, petty cash, credit card
transactions, etc.

Departmental administrative responsibilities include but are not limited
to working with online database, data entry/input, extraction and simple
report; timely reporting to external agencies, such as BMI, ASCAP,
Cultural Data Project, and others.

Track, accurately code, submit and file all departmental invoices,
obtain appropriate authorizing signatures, and ensure timeliness of
payments. Create and complete simple independent contractor agreements
and corresponding payments.

Handle inquiries from patrons and the public and respond to general
inquiries via email, telephone, in-person, and/or other, ensuring
timeliness of response which may include the mailing of brochures and
flyers. Responsible for outgoing telephone messaging with updates as
necessary.

Serve as liaison at departmental activities (such as events,
performances, dress rehearsals and others) as needed. Attend meetings
related to the described duties as necessary.

Assist Senior Directors of Programming with the organizing and
scheduling of meetings, expense reports, etc.

General clerical duties and support as needed.

Assist Program Managers during events as assigned.

Required skills and qualifications include:

Bachelor Degree (B.A.) from a four-year college or university; or two to
three years related experience, and/or training; or equivalent
combination of education and experience.

Knowledge and experience with standard performing arts production
practices including familiarity with technical production, house
management, box office, accounting procedures and artist needs,
preferred.

Excellent customer service skills and telephone skills must be able to
communicate detailed information in writing and by voice, clearly,
succinctly and accurately; tact and diplomacy; approachable.

Strong communication skills; patient and effective listener; can
effectively communicate with all levels of personnel; strong problem
solving skills; strong team player ability.

Must be able to think through complex requests and use logic and reason
to develop and propose solutions, detail-oriented with strong
follow-through skills.

Must be self-directed to manage and complete multiple tasks on varying
projects with tight deadlines; works well under pressure and in a
fast-paced environment.

Able to lift unassisted at least 10 pounds; up to 40 pounds with
assistance.

Able to work evenings and weekends as needed.

Skilled in computer use: Word, Excel, PowerPoint, Access, and Outlook,
required.

Bi-lingual English and Spanish, both oral and written, preferred.

Salary range: $34,000 - $38,000 Per Year commensurate with experience
this is a full time non-exempt/hourly position. Competitive benefits
