Position: Outfest Los Angeles Production Coordinator Status: Temporary / Full Time
Reports to: Production Manager
Supervises: Senior Volunteers
Job Summary: The Outfest Los Angeles Production Coordinator serves as a seasonal member of Outfest’s Operations Team. This position will assist Outfest’s Production Manager to help maintain the day-to-day operations leading up to and during the Outfest Los Angeles Film Festival (OFLA). He/she/they will also coordinate deliveries and work with a variety of venues and vendors throughout Los Angeles. The Production Coordinator will also lead major marketing initiatives surrounding Pride Month, particularly Outfest’s booth and presence during CSW West Hollywood Pride in June.
NOTE: This position will require the candidate to work some nights and weekends prior to the Festival, including but not limited to Long Beach Pride, West Hollywood Pride, and various Volunteer Trainings and Major Donor events.
Duties and Responsibilities:
Venue Operations · Serve as the primary venue manager for one or more Outfest theaters during OFLA
· Coordinate pickups and deliveries for a variety of vendors throughout Los Angeles
· Create and order all Festival signage for Operations Department
· Coordinate all parking reservations for OFLA, including auxiliary venue parking, talent and staff
Receptions and Special Events · Produce Outfest’s presence at West Hollywood Pride and other events during Pride Month, with support from Production Manager
· Coordinate all special events during OFLA and lead a senior team of Special Events Volunteers
· Assist with coordination and check-in during the OFLA Launch Party in June
· Coordinate orders and deliveries during OFLA special events
· Attend walk throughs at various party venues to help in the assistance of party layout
· Maintain beverage and food logistics and order additional product for all festival receptions
· Coordinate production of all festival awards
· Hire volunteer bartenders and maintain festival bars
· Obtain all necessary food and beverage permits and licenses
Communications · Coordinate rentals and check out/in system of walkie talkies with festival staff
· Create staff and vendor contact list to be distributed and included in full Production Manual
· Coordinate the production of final Production Manual and assist Production Manager and Programming with the development of theater bibles
Qualifications
· Experience managing schedules and overseeing staff required
· Experience driving a U-Haul cargo van or similarly sized vehicle required
· Detail-oriented and demonstrated attention to accuracy
· Ability to work well in a team and independently
· Ability to work long hours and under tight deadlines
· Strong knowledge and skill using MS Office Suite (Excel, Word), Google Apps (Gmail, Google Drive, etc.)
· Familiarity with, and sensitivity to, diverse issues surrounding the LGBT community
· Valid CA Driver’s License and access to personal vehicle required
