Summary of position: Serves as Business Manager/Registrar for Community School of Performing Arts. Prepares and monitors CSPA department budget and analyzes and explains variances. Maintains primary responsibility for student registration and records and related activities including studio/classroom scheduling, and calculation of faculty teaching hours. Assists in the administration of the financial aid process.

Essential duties and responsibilities include the following:

• Manages finance functions of CSPA. Analyzes financial information and prepares reports. Ensures CSPA is on track to meet financial goals.
• Develops and monitors CSPA budget. Analyzes financial results compared to budget and goals.
• Manages the student record database and has primary responsibility for building course data into Blackbaud Student Information System. Ensures the security and integrity of student records and faculty teaching assignments in Blackbaud system.
• Prepares and publishes the master Schedule of Classes each semester.
• Maintains and analyzes enrollment and re-enrollment statistics, including unused group class capacity and presents information to Dean.
• Implements technology enhancements.
• Prepares and generates reports from Blackbaud and other database systems as required. Develops and prepares financial reports, budget reports, etc. to enable Dean to track and monitor income and expenses.
• Monitors and follows-up with Faculty to ensure all students have paid for the classes they are attending.
• Assigns classroom/studio space and works with Production Department to implement on master schedule.
• Interfaces with Accounts Receivable Section regarding tuition billing and payment.
• Develops registration policies and procedures; informs staff and faculty chairs of such policies and procedures.
• Assists with administration of financial aid process. Serve on Financial Aid Committee. Tracks financial aid and scholarship expenditures.
• Maintains records of registration, enrollment, scholarship, instrument rental, and billing/payment; provides reports, as requested or assigned.
• Issues transcripts and proof of enrollment, as requested.
• Maintains current knowledge of federal and state regulations relating to the maintenance of student academic records, including FERPA/privacy laws and standards relating to Social Security numbers.
• Maintains records of enrollment and inquiries in order to analyze trends and predict/project enrollment for coming year.
• Maintains knowledge and awareness of CSPA policies, procedures, performances and class requirements in order to assist with answering routine questions.
• Performs related duties as requested or assigned.

Qualifications and Experience:
Bachelors degree in business management/administration/accounting or equivalent experience. Three to five years of experience with accounting and registrar responsibilities and related services.

Strong PC skills (word processing, spreadsheets, databases). Highly proficient with MS Office, especially Word and Excel, and proven ability to learn addition software applications including relevant Student Information System (currently Blackbaud). Ability to produce both Excel and system-generated reports. Ability to implement system enhancements and upgrades.

Proficiency in bookkeeping/accounting to prepare budget and analyze financial data.

Working knowledge of FERPA guidelines and their applicability to a Community School environment.

Excellent analytical and organizational skills. Excellent interpersonal skills with proven commitment to quality customer service. Ability to deal with a wide variety of individuals in person, via telephone and in writing. Ability to plan, organize and handle multiple task, despite numerous interruptions. Capable of working well independently and in teams. High level of diplomacy, tact, discretion and confidentiality. Ability to maintain a flexible attitude and approach towards work assignments.
Ability to follow policies and procedures. Excellent written and oral communications skills.

Background in music and performing arts which may be obtained either as a student or through work experience preferred.
